Last updated 17 August 2026

1. Purpose
This procedure aims to establish a clear and consistent approach for providing and receiving both positive and constructive feedback within Inclusive Bytes. It applies to all staff, volunteers, and anyone working with the organisation, fostering a culture of continuous improvement and mutual respect.

2. Providing Feedback
2.1 Compliments and Appreciation
We encourage the open and timely recognition of positive contributions. Here are ways to provide compliments:

Verbally: Express appreciation directly to the colleague or team member.
Email: Send a quick email acknowledging a job well done.
Public Recognition: With permission, highlight achievements in team meetings or internal newsletters.
2.2 Constructive Feedback
If you have concerns about someone’s work or behaviour, address them constructively:

Directly and Respectfully: Approach the person directly and privately, focusing on specific actions and their impact.
Focus on Improvement: Offer suggestions for improvement and be open to a two-way conversation.
3. Receiving Feedback
3.1 Accepting Compliments
Graciously accept compliments and acknowledge the effort you put in.
3.2 Responding to Constructive Criticism
Actively listen to feedback and consider the other person’s perspective.
Ask clarifying questions if needed.
Show a willingness to learn and improve.
4. Formal Procedures
4.1 Complaints and Grievances
For more serious concerns that cannot be resolved informally, follow the established Inclusive Bytes Procedure for Complaints and Grievances (separate document).

4.2 Promotion and Partnerships
Feedback is crucial for informing promotion decisions and potential partnerships. During evaluations for promotions or when considering partnerships with other organisations, we will gather feedback from various sources, including:

Self-assessments
Performance reviews
Peer feedback (with consent)
Client/partner feedback (with consent)
5. Maintaining Confidentiality
Inclusive Bytes will strive to maintain confidentiality when providing or receiving feedback, especially for sensitive matters. However, there may be situations where confidentiality cannot be guaranteed, such as when required by law or to ensure the safety of staff or others.

6. Training and Support
Inclusive Bytes is committed to providing staff and volunteers with training and support to develop effective communication and feedback skills. This may include workshops on providing and receiving constructive criticism, active listening, and conflict resolution.

7. Contact Details
The Designated Equal Opportunities Person for Inclusive Bytes is Caroline Ward.
